Improves Lab Workflow

UPCARE® eLAB minimizes the administrative tasks associated with running your outreach laboratory, freeing you to deliver the highest-quality testing services. The system keeps your test menu up-to-date and in synch with your LIS. The screen and workflow layout in the application guarantee up-front data entry for all required fields, decreasing the likelihood of missing information and clerical or transcription errors that can lead to time-consuming paperwork, callbacks, and the legal implications of incomplete or inaccurate charges.

Patient Registration and Ordering

UPCARE eLAB allows single-click access to both registration and orders, significantly streamlining the order entry process for your outreach clients. Individual orders, as well as standing orders, are easily handled by UPCARE eLAB. Patients are selected from the database, or if new, they are entered with required information. UPCARE eLAB comes with its own Master Person Index, if you wish to maintain your outreach lab patient files separate from your hospital lab activities, or can be tied to your existing hospital or enterprise MPI. A dynamic search mechanism helps users identify patients, ordering physicians, and procedures.

The system enables easy input for date/time of specimen collection. All lab orders for a given patient are submitted on one screen, and the system prompts the user for procedure-specific required information. The interface accommodates order comments and allows users to automatically send out copies of orders. All required fields must be completed for order submission, reducing time spent by the performing lab gathering information after the fact. Order submission generates HL7 messages and/or requisition print-outs. Barcode specimen labels can also be printed to ensure positive specimen identification. An option for remote printing of requisitions expedites patient registration.

The application provides a quick link to the performing lab's test catalog, giving the user an easy way to access information specific to a test, such as test description, specimen requirements, expected turn-around time, etc.

Setting billing options within UPCARE eLAB during order entry raises appropriate prompts for:
  • Bill Facility - Users can indicate that the customer facility is to be billed for procedures performed. The system prompts for minimum patient identifying information.
  • Bill Patient (Insurance) - Guarantor information is expedited if the patient is the guarantor. Selection options include Commercial Insurance, Medicare, Medicaid, Workman's Comp, and Self-Pay. For each procedure ordered, required information is requested for ICD-9 codes as applicable. Medical Necessity Checking is performed, with ABN printing as needed.
Order Management

UPCARE eLAB provides real-time order status reporting, all from a friendly Web-based user interface. UPCARE eLAB comes with its own Clinical Data Repository (CDR) for maintaining order and test result information for your outreach clients. The lab order management features include:
  • Review Lab Orders - A secure mechanism allows users to view all information regarding a specific patient's lab orders, or to view all of the orders for a client site and time period, listed by order status.
  • View And Print Packing Lists - This feature provides a detailed list of all orders and specimens, sorted by storage requirements, from a client site bound for the performing lab. The packing list helps to ensure that all specimens are sent according to correct shipping requirements. Interim packing lists are available throughout the day prior to printing a final document to be sent with the specimens. In addition, historical lists can also be viewed and reprinted.
  • Cancel Lab Orders - Cancellation allows users to stop submitted orders. Relevant cancellation instructions for customers are provided where appropriate.
  • Reprint Specimen Labels and Forms - Direct access to specimen labels and forms provides an easy mechanism for re-printing as needed.
Results Reporting

UPCARE eLAB provides detailed results reporting for your outreach lab clients. These include:
  • View and Print Lab Results - Users have secure access to view and print patient test results, which are updated in real-time from the performing lab's LIS.
  • Trend/Graph Results - Multiple test results over a time period for a patient may be displayed on a single screen to enable providers to see trends. These results can also be graphed for ease of patient test result history viewing.
Supply Orders
In many cases, the performing lab provides client sites with specimen collection containers and other necessary supplies. UPCARE eLAB provides the ability for the client site to easily and electronically notify the performing lab of supply needs.

System Administration
With UPCARE eLAB, system administrators have access to a wide range of software configuration options from one simple administration interface. These include:
  • Customer Profiles and Accounts - Create tailored accounts and profiles for each customer's requirements. Profile information allows you to determine access privileges to patient orders and result information for each user.
  • Performing Laboratory Profiles and Accounts - Master accounts for the performing lab can be configured to allow access to multiple sets of patient orders and results.
  • Security Administration - Administrators may set access to Main Menu tasks for individual users, and set up special privileges for users and system administrators using admin groups. Security administration also aggregates settings related to HIPAA compliance.
  • Performing Lab Table Maintenance - This feature supports customization of individual procedures. Possible areas of customization include: codes/descriptions, orderable/non-orderable flags for each billing option, temperature handling designations categorized by the system administrator, paper requisitions to be generated using a list of forms created by the system administrator, additional test-specific information required for order submission, procedure synonyms/aliases, and limited coverage test indicators.
